Co-Working Space and Meetings

Purpose

The co-working space is a shared virtual room for focused work, collaboration, and team syncs. All team members can schedule meetings, pairing sessions, and co-working blocks without worrying about time limits.

Booking links and meeting types

  • Co-working space bookings

    • Use this link to schedule co-working sessions with teammates: https://tidycal.com/wyzlab/co-working-space.

    • Use this for:

      • Team co-working blocks

      • Ad-hoc syncs and problem-solving

      • Working sessions may run longer than a standard meeting.

  • Intern meeting bookings

    • Interns must use this link for 1:1 consultations: https://tidycal.com/wyzlab/intern-meeting.

    • These meetings are reserved for:

      • Project and progress updates

      • Internship expectations and feedback

      • Questions about tasks, scope, or timelines

    • Standard duration: 30 minutes per booking.

AI notetaker and recording

  • When you schedule via the 1:1 consultations link, the AI notetaker will automatically join the call, record it, and generate notes for later review.

  • By booking via this link, all participants consent to:

    • The call is being recorded.

    • Notes and transcripts should be available to the team for work-related review.

  • Please do not use the 1:1 consultations link for discussions that are confidential, sensitive, or inappropriate to record; use another meeting link instead and clearly mark it as non-recorded.

Expected use and etiquette

  • Use the co-working space for work-related collaboration, not for purely social calls.

  • Join on time and communicate in the event chat or DM if you will be late or need to leave early.

  • Mute when not speaking in larger sessions and be mindful of background noise.

  • Use clear titles and short descriptions when booking so teammates can quickly understand the session's purpose.

  • Respect others’ time:

    • End on time when possible.

    • Book follow-ups if a deeper discussion is needed.

Guidelines

  • Interns should:

    • Use the intern meeting link for 1:1 time with the manager rather than the general co-working link.

    • Come prepared with an agenda (updates, blockers, questions).

    • Limit bookings to the agreed cadence (for example: once per week or as specified by the supervisor).

  • Co-working sessions that include interns (e.g., working alongside the team) should still use the co-working space link, not the intern consultation link.

Privacy and data handling

  • Meeting recordings and AI notes are for internal use only and must not be shared externally without permission.

  • Do not discuss highly sensitive personal information in recorded co-working sessions.

  • If a participant is uncomfortable with recording for a specific meeting, the organizer should:

    • Switch to a non-recorded link.

  • This policy may be updated as the team’s needs, tools, or practices evolve; the latest version should always be stored in this knowledge-base.
